# Prepare your venue booking before the other services.

To book a conference venue before finalising catering or transport, clarify venue conditions and approvals. Keep other services open and request a quote only for the additions needed.

## Define the service you want to progress.

A venue can be handled before the caterer if requirements affecting its choice are known: layout, headcount, times and conditions for external suppliers. Identify what must be decided now and what can remain open.

Keep trusted suppliers, existing quotes and confirmed choices. Request only necessary additions; partial approval should not hide dependencies on other services.

- Describe the service and expected inclusions.

- Identify information needed before the decision.

- Keep existing choices and open questions.

## Clarify provisional hold conditions.

Ask for the exact wording of a hold, its duration and conditions for extending it or turning it into a commitment. Clarify consequences of headcount, programme or date changes. Do not assume a hold secures the venue free of charge.

Service Public describes general and special terms of sale as the framework of a commercial relationship in France. This French reference does not establish UK contract requirements. Review applicable proposal conditions with authorised people; a timeline or universal rule cannot replace them.

- Obtain applicable conditions in writing.

- Record the deadline and tracking owner.

- Have change and cancellation conditions checked.

## Separate selection, internal approval and confirmation.

Selecting a proposal records a choice; internal approval and commitment follow the agreed process. In the Sourcing Force arrangement, BME acts as the single supplier and order confirmation requires receipt of the official purchase order corresponding to the relevant purchase requisition.

Actual supplier purchases and services keep separate statuses. Venue confirmation does not automatically confirm catering or transport. A click, AI summary or submitted form is not an order; this site creates a commercial enquiry, never a purchase requisition or order.

- Track the exact status of each service.

- Identify the document needed for confirmation.

- Have authorised contacts approve each commitment.

## Check how changes affect other services.

After venue selection, a programme change may affect rooms, technical services or catering times. Keep the reference version and have consequences checked before treating an addition as accepted.

Fictional example: a venue is confirmed for a plenary, but the programme adds two simultaneous workshops. The team asks about additional spaces and their conditions; it does not assume the initial confirmation covers these new services.

- Record the change and affected services.

- Request additions and conditions to confirm.

- Distinguish the old version from the new approval.

## Request support for the remaining scope.

Your brief can record a selected venue, trusted caterer and transport to source. Specify the actual status of choices, resulting constraints and only the services to entrust to the Sourcing Force team. An AI estimate remains a budget hypothesis to confirm.

CNIL highlights limiting data to the purpose. Prepare a useful summary without copying confidential contracts, bank details or sensitive personal data into the AI field. Documents and approvals are then handled through the authorised process.

- State what is settled and what needs preparation.

- Link each question to a service and owner.

- Request a quote for services actually entrusted.
