01 · Guidance for your project

## The gathering that suits your occasion.

Bring teams together, thank partners or mark a company milestone: start with your invited audience, message and preferred pace.

### Cocktails & conversations

Encourage meetings with circulation, spaces and service designed around guests.

### Company dinner

Prepare time around the table: welcome, seating, catering and any speeches.

### Shared occasion

Combine a message, entertainment or celebration with a programme suited to your audience.

02 · Guidance for your project

## Every service has its role in the evening.

Your venue, caterer or regular partners remain the starting point. Specify services already settled and those you want to delegate.

### Catering & service

Meal format, timings, dietary requirements without sensitive data, service and equipment to confirm.

### Sound & lighting

Speeches, lighting, projection and technical conditions to check with the venue and providers.

### Reception & entertainment

Invitations, reception, circulation and entertainment timings: define responsibilities within the delegated scope.

03 · Guidance for your project

## A distinctive venue designed around your guests.

A city hotel, historic venue or country estate: these are venue types to explore, not announced partner or available venues.

Define guest numbers, access, layout, circulation, cloakroom, timings and travel home. Confirm capacities, accessibility, noise restrictions and reception conditions for each project.

04 · Guidance for your project

## Make the scope as clear as the atmosphere.

Venue, duration, guests, catering, staff, technical services, entertainment and transport: identify costs and choices already financed. Budget, dates or guest numbers can remain undecided.

The brief produces no prices. Proposals must specify taxes, included hours, possible overruns, cancellation conditions and the services actually included.

05 · Guidance for your project

## A clear thread from welcome to the last conversation.

Example to adapt: welcome and cocktails, an optional speech, dinner or entertainment, then guests depart. This is a suggested sequence without a client reference or booking.

### Prepare arrivals

Timings, access, reception and practical information for guests.

### Coordinate key moments

Align service, speeches and entertainment with the providers concerned.

### Plan the end of the evening

Confirm departure arrangements, travel home and completion of services.

06 · Guidance for your project

## One evening, several services to coordinate.

Define the support role: source missing services, prepare the programme, coordinate and track the delegated scope. BME acts as a single supplier in procurement without requiring every service to be approved at the same time.

Human support

## BME supports your event.

BME provides the human service: sourcing, organisation and coordination within the delegated scope. BME acts as a single supplier while keeping your existing suppliers and selected services.

Sourcing Force is procurement software that complements your ERP or S2P. The event service and the software have distinct roles in your procurement process.

A brief creates neither a purchase request nor an order. BME must receive the official purchase order to confirm the relevant services.

Questions to consider

## Prepare around your choices.

Can I keep my caterer or venue?+

Yes. Specify suppliers already chosen and services to delegate. There is no need to revisit arrangements already settled.

Can I delegate only sound or entertainment?+

Yes. Your requirements can cover a single service. Describe it and its connections to the venue or other providers.

What if I do not know the guest numbers yet?+

Give an estimate if you have one, or say it is to be defined. The brief preserves unknowns and confirms no capacity or availability.

Can I start with a quote already received?+

Yes. Choose that starting point and include useful details in the description.

Does the brief constitute a booking or order?+

No. The brief prepares your project; request a quote through HubSpot after reviewing it. It creates no booking, purchase request or order. Within Sourcing Force, confirmation requires BME to receive the official purchase order for the relevant purchase request.

Your team’s next shared occasion
