02 · Guidance for your project

## A clear project and shared responsibilities.

A useful discussion starts with decisions already made, open questions and services to delegate. The roles below describe the framework to agree for your project; they assign no MICE responsibility to a named person.

### Your teams

Define objectives, budget, participant constraints and approvals you retain.

### BME / Sourcing Force

Agree on contacts and support scope. BME acts as a single supplier in procurement.

### Suppliers

Define services, conditions and coordination points, service by service.

03 · Guidance for your project

## Prepare discussions in your project’s language.

Specify the desired working language in your brief. Each person’s languages, supporting contacts and availability will be confirmed when defining scope. An “International” role is neither a language list nor a coverage guarantee.

04 · Guidance for your project

## From your idea to the scope to support.

Already have a venue, quote or regular suppliers? Keep them as your starting point. Define partial support around only the services to delegate.

Within Sourcing Force, decisions remain separate by actual supplier: quote selection, BME’s receipt of the official purchase order for the relevant purchase request, then supplier orders. An Events brief confirms no service; the brief journey creates neither purchase requests nor orders.

### Understand

Share objectives, constraints and decisions already made.

### Define scope

Define services, contacts, approvals and applicable conditions.

### Prepare tracking

Agree on the schedule, expected documents and reporting indicators.

Events prepares your event requirements. BME acts as a single supplier in procurement and Sourcing Force complements your ERP/S2P. The industry presentation explains this framework.

05 · Guidance for your project

## The first discussion starts with your project.

Describe requirements, suppliers and services to delegate in the shared brief. The quote step provides the HubSpot form to submit your request after review.

Commercial handling, scheduling and response arrangements require validation of their setup. No appointment slot or response deadline is announced here.

Human support

## BME supports your event.

BME provides the human service: sourcing, organisation and coordination within the delegated scope. BME acts as a single supplier while keeping your existing suppliers and selected services.

Sourcing Force is procurement software that complements your ERP or S2P. The event service and the software have distinct roles in your procurement process.

A brief creates neither a purchase request nor an order. BME must receive the official purchase order to confirm the relevant services.

Questions to consider

## Prepare around your choices.

Are all these people assigned to my event?+

This page reflects the team and roles publicly presented by Sourcing Force. It promises no named assignment. Agree on the responsible contact, support scope and supporting people when defining your project.

Which languages can we use?+

Specify your desired working language. Language coverage and available people must be confirmed for your project; no language is inferred from a name or role.

Can we keep our venue and suppliers?+

Yes. Specify existing choices, quotes and suppliers, and services you want to delegate. Support can cover part of the event.

How do we prepare a first discussion?+

“Prepare our first discussion” opens the shared brief. You can then request a quote through the contact form; the calendar appears after submission confirmation. The brief books no service.
