01 · Guidance for your project

## One event involves several procurement decisions.

A venue can be chosen before catering; technical services may be added later. Describe actual suppliers, existing choices and services still to define without waiting for the whole event to be ready.

Your venue, regular suppliers and quotes received can be the starting point. Your MICE scope may involve one event or several needs to clarify, without creating a commitment through this site.

02 · Guidance for your project

## BME as a single supplier in your process.

BME purchases and rebills as a single supplier. Each actual provider remains identified with its service scope, documents and status. The arrangement connects with your ERP/S2P process and retains your approvals.

Define arrangement conditions, responsibilities and required information with your organisation. Direct payment may be configured for a client within the existing process; it is neither a general rule nor a public payment journey.

03 · Guidance for your project

## A request for each actual supplier in Sourcing Force.

Sourcing Force retains a purchase request or client order for each actual supplier. An event can include several services with different approvals and dates.

### Scope

Describe the need, actual supplier and services involved.

### The BME quote

Track the quote produced in Sourcing Force according to the configured client process.

### The purchase order

Have the official purchase order issued for the relevant purchase request.

04 · Guidance for your project

## Confirmation requires the official purchase order received by BME.

An order is confirmed only when BME has received the official purchase order for the relevant purchase request. A click, AI summary, selected quote or submitted form is not a confirmed order.

After confirmation, Sourcing Force issues one or more orders to the suppliers concerned. BME tracks execution, service delivery, invoicing and payments. Purchases for different services retain separate statuses.

05 · Guidance for your project

## A venue and caterer can be confirmed separately.

Fictional example: the venue’s official purchase order is received on 5 June and the caterer’s on 19 June. These separate confirmations illustrate the supplier process and describe no client event or availability.

The demonstration creates no purchase request, official purchase order or order. Discussing the scope starts with the shared brief without automatic transfer to Sourcing Force.

This page explains the BME/Sourcing Force process for event services. See Sourcing Force for the event and travel procurement framework; ERP/S2P approvals remain separate from the Events brief.

Human support

## BME supports your event.

BME provides the human service: sourcing, organisation and coordination within the delegated scope. BME acts as a single supplier while keeping your existing suppliers and selected services.

Sourcing Force is procurement software that complements your ERP or S2P. The event service and the software have distinct roles in your procurement process.

A brief creates neither a purchase request nor an order. BME must receive the official purchase order to confirm the relevant services.

How do BME, Sourcing Force Events and Sourcing Force differ?+

Sourcing Force Events is the event offering. BME provides human support and purchases and re-invoices entrusted services as a single supplier. Sourcing Force is procurement software that complements your ERP or S2P; your approval process remains in place.

What should we compare before entrusting procurement for several services?+

Check inclusions, exclusions, actual suppliers, amendment and cancellation terms, and approval steps. Ask for each service’s conditions and the BME arrangement to be specified. A brief establishes neither prices nor commitments.

Does one supplier mean one service for the entire event?+

No. BME purchases and rebills as a single supplier, but each actual supplier retains its purchase request or client order and service. Statuses and approvals remain separate.

Can the venue be confirmed before the caterer?+

Yes. Services can be committed at different times. Each confirmation requires BME to receive the official purchase order for the relevant purchase request; the whole event need not be approved at once.

Does selecting a quote confirm an order?+

No. A selected quote, AI summary, click or submitted form is not a confirmed order. BME must receive the official purchase order for the relevant purchase request.

Can I start with existing suppliers and quotes?+

Yes. Describe actual suppliers, services and choices already made. Include useful quote details in the description.

Does this page transfer my request into Sourcing Force?+

No. The brief transfers no purchase request or order into Sourcing Force. You can request a BME quote through HubSpot after reviewing it. Automatic transfer requires verified access and workflows; this site does not enable it.
