Residential retreat
Plan several work and meeting sessions, with accommodation and meals defined in the programme.
Meet · Share · Move forward
One day or several shared sessions: keep your choices and define the services to arrange.
01 · Guidance for your project
Start with what you want to share: a direction, collaborative work or team building. Define the duration and setting around that purpose.

Plan several work and meeting sessions, with accommodation and meals defined in the programme.
Bring teams together for work sessions, breaks and a meal in a schedule suited to one day.
Specify participants, confidentiality requirements and conditions that support working together.
02 · Guidance for your project
A venue already chosen, a regular caterer or a quote under review: specify what is arranged and the scope you want to delegate. Services can be prepared separately.
Meeting room, break areas, any bedrooms, reception and participant access.
Breaks, meals, dinner and group time according to your programme’s pace and constraints.
Sound, projection, connectivity, workshops or team building: specify what is useful without adding services by default.
03 · Guidance for your project
A city hotel, country estate or international destination: explore settings according to travel, duration and participant numbers.
Specify workspaces, accessibility, confidentiality, equipment and accommodation requirements. A prestigious venue must also suit your programme. Availability and capacities must be checked for each project.
04 · Guidance for your project
Participants, destination, season, duration, nights, meals, technical services, activities and group transport: list the costs to consider and separate existing choices from options to explore.
Your budget can remain to be defined. This brief calculates no prices and checks no availability. Amounts, taxes, inclusions, exclusions and conditions must be detailed in quotes for your project.
05 · Guidance for your project
Example sequence to adapt: welcome and conversations, work session, break and meal, then a review or group activity. This is neither a client programme nor a booked service.
Purpose, participants, dates or flexibility, existing choices and open questions.
Service scope, proposals, conditions and approvals within your procurement process.
Programme, responsibilities, contacts and practical information to confirm.
06 · Guidance for your project
Keep track of what has been chosen, what needs clarification and the next decisions. Define the scope and responsibilities of support around your requirements.
| Service | Starting point | Next decision |
|---|---|---|
| Meeting room | Venue already chosen | Scope to confirm |
| Catering | Requirements to clarify | Meals and breaks to describe |
| Group activity | Option to explore | Purpose and format to choose |

Human support
BME provides the human service: sourcing, organisation and coordination within the delegated scope. BME acts as a single supplier while keeping your existing suppliers and selected services.
Sourcing Force is procurement software that complements your ERP or S2P. The event service and the software have distinct roles in your procurement process.
A brief creates neither a purchase request nor an order. BME must receive the official purchase order to confirm the relevant services.
Thank you for having us. I am Jérémy Ferrer, director of BME Consulting. Our aim is to help clients improve procurement productivity by simplifying management of their tail spend. In other words, we help clients avoid creating new supplier accounts where there is no potential for recurring purchases or strategic importance to their business.
The aim of the day is to share experiences with exhibitors, discuss good practice and changes in procurement, and meet as many buyers as possible from businesses in the Lyon area and, I hope, further afield in France.

Questions to consider
Yes. Specify your existing choices and the services still to delegate. Start with your venue, regular suppliers or a quote already received.
Yes. Specify the service and the details already settled. You do not need to start the whole organisation again.
Keep unknown details in your description. Specify the purpose, participants or known constraints without inventing dates or amounts.
Choose that starting point and include the useful details in your description.
The brief prepares your project. Request a quote through the HubSpot form after reviewing it. A brief is neither a quote, a purchase request nor an order. Within Sourcing Force, confirmation requires BME to receive the official purchase order for the relevant purchase request.
