Visible deadlines · Documents together

Deposits & invoices. Every deadline in view.

Identify dates, conditions and useful documents for each event service. Support and any advance funding are defined within BME’s contractual framework.

01 · Guidance for your project

Start with service dates and conditions.

List relevant quotes and contracts, approval steps, deposit and balance deadlines and expected documents. Distinguish known dates from those still to confirm.

Each actual supplier has its own payment schedule. A planned date, received invoice or selected quote does not prove payment. This page assumes no deposit amount or percentage.

02 · Guidance for your project

Support subject to contractual conditions.

BME can advance funds within its existing arrangement; capacity, conditions and commitments remain contractual. Check support arrangements for your scope before making a commitment.

This page promises no unlimited funding, automatic acceptance or payment deadline. Commissions, invoicing, payments and accounting belong to the existing Sourcing Force arrangement; Events builds no financial engine or public payment journey.

03 · Guidance for your project

Gather useful documents with their context.

For agreed tracking, identify quotes or contracts, official purchase orders, deposit and balance invoices and relevant service information. Missing documents or references remain visible as open questions.

Real documents and private data must use the authorised process. The brief accepts no attachments: describe useful details without confidential documents.

The relevant service

Link documents to the actual provider and service scope.

The deadline

Identify the date, its source and what remains to confirm.

Open information

List references or documents to complete before the next approval.

04 · Guidance for your project

Examine differences before drawing conclusions.

Administrative tracking can reconcile documents, agreed conditions and service information. Differences in scope, reference, amount or tax need examination within the relevant process.

Distinguish planned budget, committed service, received invoice and completed payment. Amounts, currencies, taxes and conditions come from approved project documents; this page performs no financial calculation or automatic reconciliation.

05 · Guidance for your project

A clear role for every next action.

Your teams define approvals and provide required information under the agreed arrangement. Suppliers provide documents and clarify conditions; BME tracks service delivery, invoicing and payments within the existing process.

Define collection scope, checkpoints, responsibilities and support conditions contractually. Factoring belongs to BME’s financial arrangement outside Events; this site enables no factoring functionality.

06 · Guidance for your project

Track the next decisions without assuming payment.

The table illustrates only information to complete and documents to check. It represents no client, real amount, payment status or accounting feed.

Each actual supplier retains its purchase request or client order and service. Order confirmation requires BME to receive the official purchase order for the relevant purchase request; services can be committed separately. The brief journey creates neither purchase requests nor orders.

Human support

BME supports your event.

BME provides the human service: sourcing, organisation and coordination within the delegated scope. BME acts as a single supplier while keeping your existing suppliers and selected services.

Sourcing Force is procurement software that complements your ERP or S2P. The event service and the software have distinct roles in your procurement process.

A brief creates neither a purchase request nor an order. BME must receive the official purchase order to confirm the relevant services.

Questions to consider

Prepare around your choices.

What documents should we prepare to track deposits and invoices?

Identify available quotes or contracts, payment schedules, official purchase orders, and deposit or final invoices. Link each document to the actual supplier and relevant service. Specify missing documents and references to check within the agreed workflow.

How do a deposit, an invoice and a payment differ?

A deposit is an amount planned under the service’s terms; an invoice is a received document; payment is an operation to confirm within the relevant workflow. A due date or received invoice does not establish that the supplier has been paid.

Can BME cover every deposit without conditions?

No. Any advance depends on capacity, conditions and contractual commitments within BME’s arrangement. This page is not a funding or support agreement.

Does receiving an invoice mean the supplier has been paid?

No. Invoice receipt, a planned deadline and completed payment are separate statuses. Payment must be confirmed by evidence from the relevant process, never inferred from this fictional table.

Can I keep my caterer or a quote already received?

Yes. Describe actual suppliers, services already chosen and services whose tracking you want to define. Support conditions remain to be checked for this scope.

Can I attach quotes or invoices to the brief?

Real documents cannot be uploaded here. Use a fictional example in the description; the future document journey and private storage must be validated before activation.

Does preparing my brief trigger a payment?

Prepare your brief in the shared popup, then request a quote through HubSpot after reviewing it. The AI asks up to three useful questions, or none if your project is clear. A copy of your brief is emailed to you. The brief is neither a quote, a booking, a purchase request nor an order.
