Participate · Share · Connect

Team building that brings people together.

A workshop or group challenge: build an occasion everyone can participate in, around your objectives and existing choices.

01 · Guidance for your project

One shared objective, several ways to participate.

Welcome a new team, encourage conversations or share time together: specify what you expect from the occasion. An activity alone does not guarantee lasting results.

Get to know each other

Prepare conversations and small groups to help participants meet.

Cooperate

Design an activity with a shared objective, clear roles and a pace suited to the group.

Share an occasion

Combine a social gathering with a workshop or review session, according to your needs.

02 · Guidance for your project

An activity to choose. A scope to define.

These formats are ideas to explore, not a catalogue of available activities. Keep the facilitator or venue already chosen and delegate only the services still needed.

Creative workshop

A group creation, with materials, facilitation and a review to define.

Collaborative challenge

A team exercise whose rules, effort level and participation conditions need checking.

Shared time

A conversation or meal, with catering, spaces and pace arranged around the group.

03 · Guidance for your project

A setting where everyone has a place.

In a city, hotel or estate garden: choose the setting according to access, duration and participant numbers. Check capacities, availability and weather conditions for each project.

Describe adaptation needs without sharing medical data. Access, seating, pace, alternatives to physical activity and a fallback plan must be discussed with the venue and facilitators. Accessibility is never assumed.

04 · Guidance for your project

The budget follows your team’s choices.

Participants, duration, facilitation, materials, venue, meals and travel: separate costs already covered from services to delegate. An undecided budget is accepted.

The brief does not calculate prices. Proposals must specify inclusions, exclusions, taxes, adaptations, postponement or cancellation conditions and each provider’s responsibilities.

05 · Guidance for your project

A pace to build together.

Example programme to adapt: welcome, instructions, group activity, break and discussion of the experience. This is neither a client event nor a booked programme.

Before

Define the purpose, participants, constraints and suppliers already selected.

During

Plan reception, instructions, roles, breaks and agreed adaptations.

After

Prepare a review and participant feedback without promising measured results.

06 · Guidance for your project

Your partners, your services, your next decisions.

Define the support role together: source missing services, prepare information and coordinate the delegated scope. BME acts as a single supplier within procurement, with separate services and approvals.

Human support

BME supports your event.

BME provides the human service: sourcing, organisation and coordination within the delegated scope. BME acts as a single supplier while keeping your existing suppliers and selected services.

Sourcing Force is procurement software that complements your ERP or S2P. The event service and the software have distinct roles in your procurement process.

A brief creates neither a purchase request nor an order. BME must receive the official purchase order to confirm the relevant services.

Questions to consider

Prepare around your choices.

Can I keep my facilitator or venue?

Yes. Describe your existing partners and what remains to prepare. The scope can cover a single service, such as catering.

How do we plan an activity suitable for everyone?

Describe participation constraints and adaptation needs without medical data. Confirm arrangements and alternatives with facilitators and the venue before any commitment.

Do we need to have chosen an activity?

No. Specify your purpose, group and known constraints. Activities, dates and budget can remain undecided.

What should we consider for an outdoor activity?

Specify access conditions and fallback requirements. Weather constraints, postponement arrangements and responsibilities must be confirmed in proposals; favourable conditions are not guaranteed.

Does the brief confirm a service?

The brief prepares your project; request a quote through HubSpot after reviewing it. It creates neither a quote, a purchase request nor an order. Within Sourcing Force, confirmation requires BME to receive the official purchase order for the relevant purchase request.
