Organisers
Preserve each event’s objectives, existing choices and participant constraints.
Your events · Across your organisation
Bring your event organisers, purchasing team and finance team together. Plan your meetings and events (MICE), keep existing suppliers and choose which services to entrust to BME.
01 · Guidance for your project
Different sites, teams and formats can involve different organisers. Bring together objectives, existing choices and services to delegate to prepare a shared programme view.
BME acts as a single supplier in procurement. Venue, catering, technical services and activities remain identified by service; partial support and regular suppliers are part of your starting point.

Preserve each event’s objectives, existing choices and participant constraints.
Define supplier scope, approvals and conditions for the MICE arrangement.
Specify cost centres, expected documents, deadlines and shared indicators.
02 · Guidance for your project
Decide who defines the needs, compares quotes and approves each service. Keep a separate purchase request or client order for each actual supplier. You can confirm the venue before choosing the catering.
Sourcing Force calculates the commission when a purchase request is created. It sends the BME quote to the client so the client can issue an official purchase order. BME must receive that order for the relevant request before confirming the service. Sourcing Force then issues the supplier orders. Sending an Events brief or clicking a button does not place an order. This initial journey (brief) creates no purchase request or order.
Agree on scope, roles, support, cancellation terms and deposits in the contract. Advance funding depends on the agreed capacity and terms. A consolidated invoice is not guaranteed.
03 · Guidance for your project
Agree on the team, roles and contacts for each part of your programme. Confirm working languages, availability and support before proceeding. No named team or local presence is promised here.
Once services are confirmed, BME tracks delivery, invoices and payments under the agreed arrangement. Keep your approval rules. Decide how organisers, purchasing and finance teams will share updates.
Identify organisers, procurement decision makers, finance contacts and access owners.
Agree on contacts and service tracking within the arrangement applicable to the client.
Document services, conditions and coordination points for each service.

Identify events, entities and sites, suppliers already chosen and approval processes.
Agree on one event or selected services, expected documents and useful indicators before applying them more widely.
Explore expansion to chosen entities or formats with the teams, subject to confirmed conditions, capacity and access.
05 · Guidance for your project
Events helps you define event needs. Sourcing Force works alongside your enterprise resource planning (ERP) or source-to-pay (S2P) tools. First, identify the entities, cost centres, approval steps, reference data and access rights you need.
Automatic transfer is a future option. It requires a configured Sourcing Force client identifier and checked data flows within the authorised arrangement. The existing manual process remains separate from this brief. Check the business interfaces during the project. General integration documents do not prove that a connection is active for your organisation.
Agree on access, confidentiality, retention and sharing with the people responsible. Describe your needs without attaching confidential files. This page does not confirm private storage, a live connector, certification or data residency.
06 · Guidance for your project
Track each event, entity, site, cost centre and period. Identify the currency and actual supplier for each service. Keep estimated, selected, committed and documented actual budgets separate. Track payments separately too.
Do not combine currencies without a documented conversion policy. Show missing documents and the scope covered by each report. Agree on a method to measure quality and satisfaction. Updates depend on the process and available documents; real-time reporting is not promised.

Companies entrust their event services to us.

Human support
BME provides the human service: sourcing, organisation and coordination within the delegated scope. BME acts as a single supplier while keeping your existing suppliers and selected services.
Sourcing Force is procurement software that complements your ERP or S2P. The event service and the software have distinct roles in your procurement process.
A brief creates neither a purchase request nor an order. BME must receive the official purchase order to confirm the relevant services.
