Scope
Describe the need, actual supplier and services involved.
A procurement framework · Separate services
Venue, caterer, technical services: each service retains its scope and approvals. BME purchases and rebills as a single supplier within Sourcing Force.
01 · Guidance for your project
A venue can be chosen before catering; technical services may be added later. Describe actual suppliers, existing choices and services still to define without waiting for the whole event to be ready.
Your venue, regular suppliers and quotes received can be the starting point. Your MICE scope may involve one event or several needs to clarify, without creating a commitment through this site.

02 · Guidance for your project
BME purchases and rebills as a single supplier. Each actual provider remains identified with its service scope, documents and status. The arrangement connects with your ERP/S2P process and retains your approvals.
Define arrangement conditions, responsibilities and required information with your organisation. Direct payment may be configured for a client within the existing process; it is neither a general rule nor a public payment journey.
03 · Guidance for your project
Sourcing Force retains a purchase request or client order for each actual supplier. An event can include several services with different approvals and dates.
Describe the need, actual supplier and services involved.
Track the quote produced in Sourcing Force according to the configured client process.
Have the official purchase order issued for the relevant purchase request.
04 · Guidance for your project
An order is confirmed only when BME has received the official purchase order for the relevant purchase request. A click, AI summary, selected quote or submitted form is not a confirmed order.
After confirmation, Sourcing Force issues one or more orders to the suppliers concerned. BME tracks execution, service delivery, invoicing and payments. Purchases for different services retain separate statuses.
05 · Guidance for your project
Fictional example: the venue’s official purchase order is received on 5 June and the caterer’s on 19 June. These separate confirmations illustrate the supplier process and describe no client event or availability.
The demonstration creates no purchase request, official purchase order or order. Discussing the scope starts with the shared brief without automatic transfer to Sourcing Force.
| Service | Official purchase order | Service status |
|---|---|---|
| Venue | Official purchase order received on 5 June | Confirmed in this example |
| Caterer | Official purchase order received on 19 June | Confirmed in this example |
| Technical services | Requirements still to clarify | No confirmed order |

Human support
BME provides the human service: sourcing, organisation and coordination within the delegated scope. BME acts as a single supplier while keeping your existing suppliers and selected services.
Sourcing Force is procurement software that complements your ERP or S2P. The event service and the software have distinct roles in your procurement process.
A brief creates neither a purchase request nor an order. BME must receive the official purchase order to confirm the relevant services.
