Your event · Decisions to prepare
Turn your event objective into a useful brief.
Your event brief should connect the corporate retreat objective to its programme, venue and services. Describe what the team expects, then specify existing choices and services to entrust for a tailored quote.

Describe what the team should be able to do afterwards.
“Build cohesion” gives direction but leaves several formats possible. Specify the intended change: understanding roles, sharing a method, preparing a decision or working on a common topic. Choose a priority that helps decide the programme.
Fictional example: a team wants to clarify cooperation between two functions. The brief includes a discussion of responsibilities and a workshop producing an action list. It promises neither a quantified performance improvement nor guaranteed changes in relationships.
- Name the expected outcome in concrete terms.
- Separate the main objective from additional wishes.
- Have the project lead approve the priority.
Prepare group needs and constraints.
State expected headcount, represented roles and sessions they will attend. Describe accessibility needs and practical constraints relevant to organisation, keeping essential individual information for authorised contacts.
CNIL highlights purpose limitation and data minimisation. A planning brief can describe the group and its needs without HR files, medical details or confidential comments about individuals.

- Prepare useful headcounts and practical needs.
- Identify speakers and approvers.
- Keep sensitive personal information out of the AI field.
Translate the objective into sessions and spaces.
For each session, link an activity to an expected outcome: a presentation to share information, a workshop to prepare a proposal, a discussion to compare views. Specify simultaneous spaces, equipment and breaks.
ADEME addresses responsible events from design to review, including venue, transport and catering choices. Include criteria useful to your project in the brief; an environmental intention alone does not demonstrate a result.

- Specify the deliverable or decision expected from each session.
- Have room and technical requirements checked.
- Connect travel and catering criteria to the programme.
Distinguish existing choices from services to entrust.
Record the selected venue, trusted caterer and existing quotes with their actual status. Specify only services for which you want sourcing or coordination. An undefined budget can remain an open point; an AI estimate remains a hypothesis to confirm.
The brief helps the Sourcing Force team understand the request before preparing a quote. It confirms no reservation. In the procurement arrangement, BME acts as the single supplier and confirmation requires the corresponding official purchase order; services can be approved separately.
- Distinguish a proposed supplier from a confirmed service.
- Record known inclusions and remaining questions.
- Specify who decides the budget, programme and each service.
Prepare a way to review the outcome.
Choose in advance what will help assess the retreat: a deliverable, a prepared decision, an assigned action or summarised participant feedback. These indicators should match the objective, without turning an impression into evidence of return on investment.
In the cooperation example, the review can record agreed actions, their owners and open questions. Add the priority, proposed programme, constraints, existing choices and services to complete to your brief, then request a quote.
- Plan the review time and owner.
- Compare the outcome with the initial need.
- Keep a useful summary for the next meeting.
| Point to prepare | Useful information | Decision to record |
|---|---|---|
| Priority | Expected outcome for the team | Approved main objective |
| Group | Headcounts, roles and practical needs | Useful information without sensitive data |
| Programme | Sessions and expected deliverables | Spaces and technical services to check |
| Constraints | Period, destination and budget | Fixed points and flexibility |
| Services | Existing choices and services to complete | Entrusted scope and approvals |
| Review | Indicators linked to the objective | Owner and follow-up time |
