Your event · Decisions to prepare
Prepare your event supplier deposit schedule.
Prepare event supplier deposits service by service, according to agreed conditions. Gather deadlines and approvals before entrusting services and their follow-up to the Sourcing Force team.

Link each deadline to a service.
Start with the applicable quote or agreement, including its reference, version and scope. Distinguish a requested deposit, an agreed deadline and a payment already made. Each status calls for a different action.
Prepare one tracking line for the venue, one for catering and one for each other service. A shared event does not make their deadlines identical or mean that all services must be committed at the same time.
- Identify the supplier and service concerned.
- Record the reference document and version.
- Separate requested dates from approved dates.
Clarify the nature of the payment.
Service Public includes payment conditions among business-to-business general terms of sale in France. This French reference does not establish UK contract requirements. Also review the special conditions of your proposal. Clarify the payment description, amount, deadline and conditions if the programme changes.
Do not infer cancellation or refund rights from a payment label alone. Check ambiguous points with the supplier and people authorised to review the agreement. No universal deposit percentage suits every event.

- Ask for the calculation basis when the amount is a percentage.
- Check postponement, change and cancellation conditions.
- Identify points requiring procurement approval.
Gather the documents needed for approval.
Prepare the relevant quote or agreement, payment request and references required by your internal process. Have the supplier, service, amount and currency checked for consistency before any payment action.
Share only information needed for the decision. CNIL recommends collecting only data required for the purpose and protecting access. Do not enter bank details or confidential documents in the AI simulator notes.

- Identify who checks the documents.
- Keep documents within the authorised process.
- Ask for a missing reference rather than inventing one.
Distinguish preparation, commitment and payment.
Specify who checks scope, who authorises commitment and who tracks payment. Plan useful approval dates without assuming a guaranteed processing time. Flag approaching deadlines to the relevant people in your organisation.
In the Events arrangement, BME acts as the single supplier through the agreed process for entrusted services. Confirming an order requires receipt of the corresponding official purchase order. The brief creates neither a purchase requisition nor an order; any handling or advance payment is defined contractually.
- Identify the decision-maker and tracking owner.
- Keep separate statuses for different services.
- Confirm the process before assuming payment handling.
Track payments without counting costs twice.
In the budget, distinguish the service cost from its payment schedule. A deposit pays part of that service; it does not add to its cost a second time. Clarify the balance, taking payments and approved changes into account.
Fictional example: the venue is already selected, while the catering quote needs clarification. Tracking retains the venue documents and deadlines; it does not copy the venue payment schedule onto the caterer.
- Record confirmed payments and their references.
- Check the balance against updated documents.
- Record discrepancies and who must resolve them.

| Documents | Agreement and payment request | Are references consistent? |
| Process | Checker, decision-maker and owner | Who approves and tracks? |
| Balance | Confirmed payments and changes | Which amount remains to reconcile? |
